How to compare venue quotes fairly

Compare the same guest count, inclusions and timing.

A headline venue price rarely tells the whole story. Ask every venue to quote for the same date range, guest count and event length. Put the included furniture, tableware, staffing, setup time and cleanup alongside each quote. Keep a separate list of items you would still need to hire or buy.

Check whether taxes and service charges are included, and whether a minimum spend applies. Record the deposit, payment dates and cancellation terms exactly as written. The quote calculator can help with the arithmetic, but the signed agreement is the source for what you owe.

Finally, compare how the place would work for your actual guests. Ask about step-free routes, toilets, transport, quiet space and the wet-weather plan. A clear answer from a named contact is often more useful than another photograph. Save unanswered questions before booking.
