A guest list that stays manageable

Separate people, households and replies from the beginning.

Start with one row for each person, then group people by household. This lets you count invitations by household while still counting seats and meals by person. Decide how you will handle partners and children before sending invitations, so that replies do not create surprises later.

Keep RSVP status separate from meal choice. An unanswered invitation is not a decline, and a confirmed guest may still need to tell you about food requirements. Use a clear reply date and a short, friendly follow-up message. Share only the details that a supplier needs, with the people who need them.

The private guest sheet includes space for a table assignment and a short note. Avoid storing sensitive information that you do not need. When the event is over, export anything you want to keep, then remove unnecessary contact and dietary details.
